Inventory Ledger
The Inventory Ledger is a permanent, append-only record of every quantity change in your inventory. Nothing is ever deleted or edited — corrections are made by posting reversing entries.
Transaction types
| Type | Posted when |
|---|---|
| Receipt | Goods received against a purchase order |
| Shipment | Goods shipped against a sales order |
| Adjustment | Manual quantity correction |
| Transfer Out / In | Stock moved between facilities |
| Count | Variance posted after a cycle count |
| Production Issue | Components issued to a work order |
| Production Receipt | Finished goods received from production |
| Return In / Out | Customer return or supplier return |
Reading a transaction
Click N lines on any row to expand the transaction detail. Each line shows:
- Item — what moved
- Lot / Serial — the specific lot or unit
- Location — where the quantity changed
- Qty — the delta (positive = stock added, negative = stock removed)
A single transaction can have many lines — for example, a receipt against a 3-line PO posts 3 ledger lines.
Filtering
Filter by transaction type using the chips at the top. Use the search box to find transactions by reference number, source document, or posted-by name.
Auditing
The ledger is the authoritative record for any audit. If your physical count disagrees with the system, trace back through the ledger to find the discrepancy — every movement is timestamped and attributed to a user.
Making corrections
Never edit the ledger directly. Instead:
- Post a manual adjustment with the correcting quantity
- Add a note explaining why the adjustment was made
- The adjustment creates a new ledger line — the original incorrect line remains visible
This keeps a complete audit trail including the correction itself.
